How to make a staff roster
A practical way to build a weekly staff roster: demand, roles, fairness, publish, and adjust when someone calls in sick.

What a good roster does
A staff roster is the plan for who works when. In hospitality and retail it has to match expected demand, honour leave and contracts, and stay fair enough that people trust it.
The goal is not a pretty spreadsheet — it is a published week staff can rely on, with a clear path when reality changes.
How to build the week
- Start from demand — forecasted sales, covers, events, or a known busy pattern for the branch
- Lock in constraints — leave, availability, max hours, and who can work which roles
- Place core shifts first (openers, closers, key roles), then fill supporting hours
- Check fairness and coverage — no silent understaffing on peak sessions
- Publish so staff can see the week, then handle open shifts and call-outs as they land
Doing this in Rostrix
Rostrix keeps rostering next to leave, time tracking and labour targets in one browser workspace. You draft by branch and department, publish when ready, and staff get the week on phone or desktop without a separate app download.
If you already run Rostrix, see Publish a roster week. If you are evaluating tools, book a demo and we will walk through a real week with you.
