Rostrix Terms of Service

Version 1.0 · Effective 12 September 2026 · Last updated 12 September 2026

These Terms of Service (“Terms”) govern access to and use of Rostrix. By creating an account or using the Services, you agree to these Terms. These Terms are a product agreement draft for Australian-market use and should be read with the Privacy Policy.

1. Introduction

Rostrix is operated by Muhammad Ariful Islam (ABN 94 457 251 150), trading as Rostrix (“Rostrix”, “we”, “us”).

These Terms apply to business customers and users who access the Rostrix software platform and related websites (the “Services”).

2. Definitions

  • “Customer” means the business or organisation that opens or controls a Rostrix workspace.
  • “User” means an individual authorised to access a Customer workspace.
  • “Employee” means a worker whose information is stored or processed in a Customer workspace (who may or may not also be a User).
  • “Customer Data” means data submitted to or generated in the Services by or for a Customer, including business and employee information.
  • “Free Plan” and “Paid Plans” mean Rostrix subscription offerings as described in the product from time to time.

3. Rostrix Services

Rostrix provides workforce management software that may include rostering, timekeeping, leave, staff profiles, tasks, operations tools, reporting and related features depending on plan and configuration.

Features may change as the product evolves. We do not guarantee that every feature will remain available in the same form indefinitely.

4. Eligibility

You must be able to form a binding contract and must provide accurate registration information. The Services are intended for business use.

5. Business / customer accounts

A Customer workspace is created through Rostrix onboarding. The Customer is responsible for its workspace configuration, users and Customer Data.

6. User accounts

Users must keep login credentials confidential and notify the Customer or Rostrix promptly of suspected unauthorised access. Users must only access information they are authorised to access.

7. Employee accounts

Employees may access Rostrix where invited or provisioned by the Customer. Employee access and visibility are controlled by Customer configuration and permissions.

8. Customer responsibilities

The Customer is responsible for:

  • Information it uploads and the accuracy of that information
  • Lawful collection and use of employee information
  • Appropriate employee notices and workplace/privacy compliance for its use of Rostrix
  • Permissions, authorisations and user access management
  • Account security and configuration of Rostrix features
  • Ensuring its users comply with applicable workplace and privacy requirements

These responsibilities do not mean Rostrix avoids its own obligations as a software provider. Both parties have roles: the Customer controls workplace data practices; Rostrix provides and secures the platform.

9. Acceptable use

You must not misuse the Services. Without limitation, you must not attempt to gain unauthorised access, disrupt the platform, upload unlawful or harmful content, probe other organisations’ data, reverse engineer the Services except as permitted by law, or use Rostrix to violate privacy, employment or other laws.

10. Customer Data

Customer Data includes business records and employee information submitted to Rostrix. Customers must not submit data they are not entitled to process.

11. Customer Data ownership

As between Rostrix and the Customer, the Customer retains ownership and control of Customer Data, subject to applicable law and these Terms.

Rostrix does not claim ownership of the Customer’s employee records.

12. Rostrix limited rights to process Customer Data

The Customer grants Rostrix a limited right to host, store, process, transmit, display and otherwise use Customer Data only as reasonably necessary to:

  • Provide and maintain the Services
  • Secure the Services and prevent abuse, fraud or security threats
  • Provide requested features and support
  • Improve reliability and troubleshoot issues
  • Comply with legal obligations

13. Employee information

Customers may store employee workforce information in Rostrix. Customers remain responsible for lawful handling of that information. Rostrix processes it to provide the Services to the Customer’s organisation.

14. Documents

Customers may upload documents associated with employees or operations. Documents are stored to provide the Services and are intended to be available only to authorised users within the relevant organisation.

Customers must not upload content they are not entitled to store, and should avoid uploading unnecessary sensitive identifiers that Rostrix is not designed to collect (for example TFNs or bank account numbers).

15. Location / timekeeping features

Rostrix may offer location-based timekeeping. Where enabled or configured by the employer, location may be captured when an employee clocks in or clocks out.

Rostrix does not continuously track employee location.

Location features are not mandatory for every Rostrix customer. Customers are responsible for configuring and using location-based timekeeping appropriately and for complying with applicable workplace and privacy obligations.

16. Third-party services

The Services rely on third-party providers for hosting, storage, email, payments and similar infrastructure. Use of those providers is described on the Subprocessors page and in the Privacy Policy.

17. Stripe / payment services

Paid subscriptions are processed by Stripe. Stripe’s terms and privacy policy apply to payment processing. Rostrix does not store full card numbers or CVV data.

18. Free plan

Rostrix may offer a free plan with feature or usage limits. Free plan eligibility and limits may change. We may convert, limit or discontinue free access with reasonable notice where practical.

20. Billing

Fees are billed through Stripe according to the selected plan and interval. Taxes may apply. Customers authorise Rostrix and Stripe to charge applicable fees.

21. Subscription renewal

Subscriptions generally renew automatically until cancelled in accordance with the billing portal or Rostrix cancellation process, unless otherwise stated at purchase.

22. Cancellation

Customers may cancel a paid subscription according to the tools available in Rostrix/Stripe. Cancellation typically stops future renewals; access continues until the end of the then-current paid period unless otherwise stated.

23. Refunds

Fees are generally non-refundable except where required by Australian Consumer Law or where Rostrix agrees otherwise in writing. Nothing in these Terms excludes non-excludable consumer guarantees.

24. Suspension

We may suspend access where reasonably necessary for security, non-payment, suspected abuse, legal compliance, or material breach of these Terms.

25. Termination

Either party may terminate the Services relationship in accordance with cancellation/deletion processes or by notice where a material breach is not remedied within a reasonable time. Rostrix may terminate or refuse service for serious misuse.

26. Data export

Customers may request an export of organisation data through available product tools or by contacting support. Export scope may depend on what Rostrix can safely and practically provide at the time of the request.

27. Data deletion

Customers may request organisation deletion through Rostrix workflows or support. Deletion may be staged to protect against accidental loss and to meet residual legal/security retention needs. Backups and logs may persist for a limited period.

28. Service availability

We aim to keep Rostrix available and reliable, but we do not guarantee uninterrupted or error-free operation.

29. Maintenance

We may perform maintenance, upgrades and emergency fixes that temporarily affect availability.

30. Security

Rostrix implements security measures described on the Security page. Customers remain responsible for their own access controls, device security and user management.

31. Intellectual property

Rostrix and its software, branding and documentation remain owned by Rostrix or its licensors. Customers receive a limited, non-exclusive right to use the Services during the subscription term.

32. Feedback

If you provide feedback or suggestions, Rostrix may use them to improve the Services without obligation to you.

34. Disclaimers

To the maximum extent permitted by law, the Services are provided on an “as is” and “as available” basis. Rostrix does not warrant that the Services will meet every workplace, payroll or compliance need of the Customer.

Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy that cannot be excluded under Australian Consumer Law.

35. Limitation of liability

To the maximum extent permitted by law, Rostrix is not liable for indirect, incidental, special, consequential or lost-profit damages, or for loss of data to the extent caused by factors outside reasonable control.

Where liability cannot be excluded, Rostrix’s aggregate liability arising out of the Services is limited, to the extent permitted by law, to resupply of the Services or the fees paid by the Customer for the Services in the 12 months before the claim.

This clause is intended to be fair and enforceable and should be reviewed by a lawyer for commercial rollout.

36. Indemnity

The Customer agrees to indemnify Rostrix against reasonable losses arising from Customer Data, unlawful use of the Services by the Customer’s users, or the Customer’s breach of these Terms, except to the extent caused by Rostrix’s negligence or wrongful act.

37. Changes to Services

We may improve, modify or discontinue features. Where a change materially reduces paid functionality, we will take reasonable steps to notify affected Customers.

38. Changes to Terms

We may update these Terms from time to time. The version and last updated date appear on this page. Continued use after changes take effect constitutes acceptance of the updated Terms, except where mandatory law requires a different process.

39. Privacy

Personal information is handled as described in the Rostrix Privacy Policy.

40. Australian law

These Terms are governed by the laws of New South Wales, Australia. The parties submit to the non-exclusive jurisdiction of the courts of that place.

This governing-law clause is intended for Australian-market operation and should be confirmed with an Australian-qualified lawyer before significant commercial rollout.
